1. Prepare the interview with resident
Interviews can be organized starting in User management in backoffice. List presents an overview of completed interviews (interviewee, interviewer, date) Select Choose to either Start the interview or Upload an external recorded interview. Check the technical device settings for a smooth audio and interview experience.
2. Record the interview
Download the interview guideline if you need inspiration for the intake interview conversation. No need to follow this scenario, you can have your personal talk with the resident without following this guideline. Search and select the resident name to start the interview. Click Start Interview when you both are ready for the conversation; the recording starts immediately. Meanwhile, you can pause the interview clicking the red stop button. Next, you can either cancel the interview (X) or save the recorded interview (v). The entire conversation will be integrated into the transcript for replaying and listening afterwards and will be saved.
3. Upload an interview audio file
Starting from tab Interviews Select Choose to Upload an external recorded interview. Drag or browse an external MP3 file to upload here for further processing into profile completion. After upload, click Process interview for converting the audio file into the transcript.
4. Process the interview
Once saved, click Process interview to start processing immediately returning the conversation into a transcript. Alternatively, you can download the interview (to your device) to process later using the upload feature. Depending on the length of the conversation, the processing will take 1-3 minutes to return the transcript and the prefilled resident profile based on conversational data.
5. Review the prefilled profile
Return to tab Interviews to retrieve the processed interview on top of the list or use the search bar on top to search by resident name. The processing generates a conversation transcript (right side) and the prefilled resident profile based on interview data (left side).
You can play the recording and read the transcript of the conversation. Left, you can review the mapping and prefilling of resident profile fields based on the interview data. Click the pencil to edit the processed and prefilled data. Read the biography (About me) section as a summary of the conversation. Check and review the mapping of resident interests based on the interview data. Both biography and interest information will be presented in the Resident directory.
6. Complete the resident profile
After reviewing and editing the prefilled profile fields, select the profile fields (tick the box) to publish into the resident profile. Unchecked profile fields will not be converted into resident profile. This publication will overwrite existing profile field information. Click Published selected fields to profile to automatically fill the resident profile with the reviewed interview data.
