QR Code Sign-In for Family & Visitors

Overview

To reduce the number of steps taken by the visitor, we offer a convenient QR code visitor sign-in flow. This removes the need for a visitor to search for their name on the kiosk and promotes a touchless experience from their Cubigo App. 

With QR code sign-in, visitors can scan the QR code displayed at the visitor management kiosk directly from their Cubigo app to complete most of the sign-in process instantly.

Now, family members and other external visitors can also enjoy a faster, more touchless check-in experience.

Visitor Sign-In Experience in the App

When QR sign-in is enabled for a role:

1. A Visit sign in/out SCAN banner appears on the Cubigo mobile app home screen.

   

2. Visitors open the camera scanner from the SCAN icon within the app and scan the kiosk QR code.

3. The Visitor Management Service automatically starts the sign-in process.

Most visits are created instantly—without requiring the visitor to manually search and select a host. If badge printing is required, that final step is completed at the kiosk.

Automatic Visit Creation

Cubigo determines the visitor’s host within the community using this logic:

1. First resident found in the visitor’s connections

2. Default host for that visitor type

3. Last host the visitor signed in with

Fallback When Automatic Sign-In Isn’t Possible

If a visit cannot be created automatically—e.g., the visitor has no connections or their role isn’t enabled for QR sign-in—the app guides them back to the kiosk for manual completion.

⚠️ Fallback flow: Manual sign-in ensures all visitors can complete the process.

Examples of scenarios requiring kiosk fallback:

• Visitor has no resident connections yet

• The visitor's role is not enabled for QR sign-in

• System cannot determine a valid host

QR Code Scanned Outside the Cubigo App

• This flow is meant to be scanned directly from the Cubigo App and not directly from the device's camera.

• The QR code includes a customizable URL to allow for an informational page to open if scanned directly from the device's camera. 

• If your community has a Cubigo white-label app and you prefer your app's brand to appear on this landing page, please provide a URL for configuration by a Cubigo team member. 

• The URL will offer insights into how to correctly use the QR code flow from the app, and suggest how to open the app or how to gain access to the app if the user does not yet have an account. 

Why We Don’t Redirect Directly into the App

Direct app deep links could confuse visitors who haven’t been onboarded yet. 

Instead:

• Visitors are guided to a URL with specific instructions on how to follow up to ensure the flow works for them the next time around. 

• The front desk team members can provide the visitor with a username and activation email for a seamless check-in upon their next visit.
