Once steps 1 (Prospect) and 2 (Theme) of the request are complete, you are automatically taken to the Tasks tab where you can schedule tasks for follow-up and assign them to a task responsible.
There is a specific task list available for each business unit from which you can select and schedule the relevant tasks or create free tasks.
First automatic task
If the request is registered by someone who is not the request responsible, a first task for the start of the follow-up will automatically be scheduled and assigned to that request responsible. He/she will receive an e-mail notification about this with a link to this first task. This way, no request will be lost anymore.
The request responsible can now schedule the follow-up tasks according to the urgency of the request and the availability of the employees.
When doing so, select the appropriate task from the task suggestion list.
Task suggestions
You select the task from the suggestion list that is relevant to this request and schedule it with assignment to yourself or a colleague. You can also immediately schedule all relevant future tasks with the appropriate due date. You do not have to follow the order in the suggestion list, but can schedule all tasks completely flexibly. To work quickly, you can make the necessary adjustments inline (in the task line) for both the task responsible and the due date. You do not need to open the task detail for this.
Scheduling a 'free' task
If you want to schedule a task which is not in the suggestion list, click on 'Add task', choose the task type and the desired due date and enter a short task description. This 'free' task will be listed neatly among the other tasks, in chronological order.
Next best action
Once you put a request on waitlist status, the system will automatically help you schedule a callback. Decide who you assign this task to and on what date (in 3 months, in 6 months, ...)
Task progress
Through the notifications, you as task manager will be informed about each task scheduled for you. You can also monitor the tasks assigned to you via the task widget on the home screen.
Each time you perform a task, you register the task as completed via the check mark on the front left. Cubigo guides you to select, assign and schedule the 'next best' follow-up task.
Tasks yet to be completed are listed above the line in chronological order. All already completed tasks are listed below the line.
Update request status
Meanwhile, what is the status of the request ? Use the task schedule to update the status of the request (waiting list, contract, closed, ...), you do not need to go to the wan request list to do this. You can also change the request status at the top of the task section header.
