Once you prepare the contract meeting with your customer, you can generate the desired recording documents from the request to pre-fill with the relevant data already known from that request.
You start from the request for which you are preparing the contract meeting. You click horizontally on the detail line for the request; the corresponding detail pages Prospect, Topic, Referrer, Tasks, Documents open.
Go to the 'Documents' tab where you can select and generate the desired recording documents to pre-fill with the data from the CLM request. To do so, click on the top right ' Generate Documents' button.
If recording documents have already been prepared for this request, they will remain listed here - for security reasons - as generated documents for 7 days. You can sort by date here.
All generated documents are shown separately as a word file with above it the corresponding pdf file that bundles all these individual recording documents.
Step-by-step plan
Go to the 'Documents' tab and click on ' Generate document(s)' to prepare and generate documents for print in a few steps.
Step 1: Place a check mark at the front left of the documents you wish to pre-fill and generate for print with the data from CLM request. Place a check mark at the very top of the title line to select all documents. Click on Next
Step 2: In this screen, go through the fields that are pre-filled based on the available information from the CLM request. You can always go back to the previous step by clicking on the check mark.
The fields are listed alphabetically by individual heading: prospect, contact person, residency. Click the arrow to close this underlying list by heading. The right column indicates how many documents this data appears and will be filled in.
Check this data one by one, possibly together with the customer or contact person at your table.
If a piece of data has not been entered correctly from the CLM request (because the information is now out of date), use the brush icon on the right to modify this information. When changing (overwriting) this information, this new information is updated everywhere in the CLM request and user profile.
Fields for which information could not be retrieved are indicated by Use the brush icon to add this information -if known- here.
Please note: The changes you make for the data from the Pipeline request are then also saved/overwritten in the (pipeline) request and user profile.

Step 3: The Other data list contains relevant data for the recording documents that cannot be retrieved from the CLM request, e.g. family doctor name, health insurance company name, etc. If these were prepared in the document template, you can still enter these data here once, to be entered in the contracts you will generate. These data are temporary and are not stored in the CLM request or user profile.
The selected documents may not contain fields that are pre-filled with other data.
Tip: You can still go back to the previous step (data pipeline request) by clicking that check mark at the top.
Click Generate documents again to pre-fill the selected documents with the data you have checked or possibly updated. This may take 1-2 minutes depending on the total number of pages to be prepared. (Time indication: the first 250 pages are prepared within 1 minute)
Within the request in which you started, in the Documents tab, the results are displayed.
The most recently generated documents appear at the top of this list (see date column). The generated documents remain available for 7 days.
The pre-filled documents are always shown per set: 1 merged word file contains all underlying documents bundled and ready to print. Each partial document is printed neatly on a new even page.
Step 4: Select the documents you wish to print for download. Open the result and send the command to the local printer for printing in the desired format, color, etc. Recto-verso printing is supported.
Depending on your browser settings, the download will be prepared for opening or written away immediately.

If a partial document contains an odd number of pages we insert a blank page in between, this way all partial documents are printed neatly from a new recto page.
Notes:
1/ The residency information (community fields) are not editable: they are retrieved by default from your residency settings in the Cubigo application. If something needs to be adjusted for this, please send an e-mail to customersupport@cubigo.com.
2/ If you overwrite/change information in step 2 (data pipeline request), it will be updated everywhere in the CLM request and user profile.
3/ If you overwrite/change information in step 3 (other data), it will not be updated in the CLM request and user profile, only for the generation of these documents.
4/ When signing the contract, remember to give this request the appropriate status ' Closed converted'. Congratulations!
