As an administrator, you can upload a set of contract or recording documents for your residence in CLM for easy printing at contract signing. This is a one-time preparation action. For each contract generation, you can then select the corresponding documents from this set to pre-fill.
From the left back office menu, go to Pipeline/Settings and click on the 'Document templates' tab. Here you will find the overview of templates already loaded with date and name.
The templates you upload here should contain the appropriate merge fields, to enter data from Cubigo CLM Pipeline . For questions in preparing these templates, please contact the Project Manager.
If you use templates in multiple languages as residencies, you should upload them here separately.
Step By Step Plan
Step 1: Click ' Upload Template' and load the template from your source outside Cubigo to here. Give the template a clear name; Cubigo shows a message if this name already exists.
You can also delete an existing template via the Select button on the far right to add a new version of it.
Use the trash can icon if you have retrieved the wrong template from your external source and wish to delete it.
Step 2: Check the fields from the template listed on the right: these are the fields that can be pre-filled from this template with data from your CLM Pipeline request.
Data (pipeline) request: these are data that will be retrieved and pre-populated from the CLM request
Other data: these are relevant data that appear several times in the contract documents, such as the name of the family doctor: you can complete these once in Cubigo during the contract generation, in order to have them easily prefilled in the contracts.
These data are listed (in english) in the order they are found in the template; each only once. There may be no 'other data' in the template.
Step 3: Click 'Save' to permanently use this template for contract generation.
This template will be displayed with your chosen name in the list, arranged chronologically by date of upload.
Use the arrows in the title row at the top of the list to display the templates in a different order.
You can click on the template name (displayed with blue link) to open and view the template (for review).
