You can change a visit schedule without having to create a completely new schedule. These changes will be implemented immediately, see the details of a visit schedule.
Changing schedules via the tab Locations → Select from the list and click on the visit schedule you wish to change.
Click on the Edit Schedule button to change this visit schedule, with immediate effect.
You have the following options to change the current schedule:
- Add a visit slot prior to the first visit slot
- Add a visit lock after the last visit lock
- Changing the capacity on the access locks
Any changes you make to a visit schedule will affect the Exceptions that may already have been defined for this schedule. They overwrite the defined Exceptions. In the relationship between a schedule and the exceptions, the schedule is always 'leading'. In case of additions (read: extension) of the current scheme, this is not a problem.
Option 1: adding visit slots to the current scheme
By adding visit slots, you automatically add a visit slot with the same duration, prior to the first visit slot or following the last visit slot. You can repeat this action several times. By default, these added visit slots will have the capacity 'zero'. This way, you can block intermediate visit slots to not show them in the visit calendar.
The modified parameters for this visit scheme - like a modified first or last slot - are taken over from the 'Parameters' tab.
Attention: You CANNOT change the duration of the visits within an existing visit schedule. This starts a new visit schedule via the Parameters tab.
Concretely: In the example below, evening visits were added from 4.30pm onwards, with a break for visits between 3.30pm and 4pm.
Option 2: change capacity on the access locks
You can change the capacities - per visit slot and per day - in the current schedule.
Increase capacity: This is always possible. These are additional visit slots; there will ever be a conflict with the currently scheduled visit requests.
Decrease capacity: This is not always possible. You will take places here from the current planning. If you wish to reduce the capacity below the number of already planned visit requests, you will receive a warning. The warning indicates for which day there is a conflict with already planned visit requests (see print screen). This change will not be implemented. If you still wish to reduce the capacity (for all recurring moments in this schedule), you must first cancel the relevant scheduled request before you can reduce the capacity.
Option 3: change interval (duration of visit)
If you wish to change the interval (duration of a visit), you will need to create a new visit schedule. After all, a different visit time (e.g. from 15 minutes to 40 minutes) completely changes the existing visit calendar.
In that case, a future visit schedule will be added, with a starting date that you can choose yourself in the function of the already planned visits for the current schedule.
In case of planned visits, the new schedule can start after the last planned visit. You can activate a new schedule at the latest after the pre-booking time of the current schedule.
If you create a new schedule that starts early after the last scheduled request, this new schedule intervenes on the Exceptions that may already have been defined. (Because exceptions are always linked to a schedule.) The new schedule with the new capacities overwrites the possibly already defined exceptions.
In the relation between a schema and the exceptions, the schema is always 'leading'. In case of additions (read: extension) of the current schema, this is not a problem. In case of a reduction of capacity, this can have an impact on the exceptions.
Note: The new scheme will replace all future schemes with a start date after this new scheme and thus overwrite it. Exceptions to these schemes will also be overwritten by the new scheme.
