Editing an Activity: Important Notes & Step-by-Step Guide
When editing an activity, please be aware that certain changes may affect the attendees’ list. Below are the details and steps to guide you through the process.
Impact on Attendees
Editing a Single Instance

Attendees remain signed-up when changes are made to:
- Title, date, time, location, price, sign-up dates, or number of attendees.
Editing a Recurring Activity

Attendees stay signed-up if you change:
- Location, title, price, category, facilitator, description, number of attendees, recurrence settings, or if sign-up is enabled through transportation.

Attendees are removed if you change:
- Date, time, or status.
How to Edit an Activity
1. Locate the Activity
- Go to the back office and navigate to ACTIVITIES > Items.
- Select the activity you want to edit from the list.
- Need help finding the item? Refer to How to find, edit or select the items in an overview page.
2. Choose Your Edit Option (For Recurring Activities Only)
- If the activity is part of a recurring series, you will be prompted to choose between:
- “I want to edit the event just for this day”
- “I want to edit this and all future events.”
- Click the blue [Continue] button.
Note: Editing just one day will sever the connection with the recurring activity. Future changes made to the recurring activity will not affect that specific event.
3. Change the Activity Status
- Open the selected activity and scroll to the Status section (located under the activity image).
- Click the round Pencil button to change the status.
- The Status drop-down list will appear with these options:
- Published: Residents can see the activity.
- Unpublished: The activity remains hidden to everyone but staff users. This is ideal if you are making changes before ready to publish.
- Archived: The activity remains hidden to everyone but staff users. However, in this case, it be archived and pushed back further from your view. This does not delete it.
- Canceled: The activity has been canceled.
- Click the blue [Save] button to confirm your status change.
4. Save Your Changes
- After finishing your edits, it's crucial to save your work.
- Click the [Save activity] button at the bottom of the screen.
Important: If you do not save, none of your changes will be applied.
Additional Information
- Changing time, date, or status: All attendees will be unsubscribed, and those who were signed up will receive a notification.
- Changing location, title, or price: Attendees will be notified of the change but will remain signed up.
Following these steps will help ensure that your activity edits are applied correctly while keeping residents informed.
